Safeguarding Policy

Highland Cycle Ability Centre (HCAC) is committed to providing a safe, inclusive, and welcoming environment for people of all ages, abilities, and disabilities. We believe everyone has the right to enjoy cycling in a space that is respectful, supportive, and free from harm. Although carers and attending parents retain primary responsibility for the individuals they support, HCAC staff and volunteers play an important role in maintaining a safe environment and reporting any concerns that may arise.

 

Safeguarding is everyone’s responsibility. HCAC will always act promptly, appropriately, and in partnership with carers, supporting organisations, and external agencies when concerns about a child or vulnerable adult’s safety or wellbeing are raised.

OUR COMMITMENT

  • Promote the safety, dignity, and wellbeing of all service users

  • Maintain a respectful, inclusive environment

  • Ensure staff and volunteers understand their safeguarding responsibilities

  • Act promptly and appropriately if concerns arise

  • Work with carers, supporting organisations, and Police Scotland when needed

STAFF AND VOLUNTEER RESPONSIBILITIES

  • Supervise safe use of cycles and the track

  • Maintain professional boundaries

  • Avoid physical contact unless necessary for safety

  • Report concerns immediately to the Centre Manager

  • Follow lone‑working guidance

REPORTING CONCERNS

If a concern arises, staff or volunteers must report it verbally to the Centre Manager, who will record the incident and escalate it to the relevant organisation or Police Scotland if required.

RECORD KEEPING

Safeguarding records are stored securely in the main office and on the Centre Manager’s secure computer.

PHOTOGRAPHY

No photographs of service users may be taken without consent from carers or guardians.

GOVERNANCE: The Centre is governed by Watermill Foundation Ltd SC 323252 (Scottish Charity Number SC042811) and consists of a Board of Directors with a wide range of public, private and third sector experience. There are currently 5 active Board members.
